Job Description
- This position is at the head of the faculty’s financial and administrative departments, and the incumbent is responsible for managing all financial and administrative tasks.
Faculty Secretary Duties
1. Supervising the staff.
2. Participating in planning the faculty’s financial and administrative operations and proposing implementation plans.
3.Issuing instructions clarifying work policies in accordance with applicable laws, regulations, and decisions
4. Holding regular meetings with officials to discuss work procedures, challenges, and solutions.
5. Exercising financial and administrative authority within the scope of applicable regulations.
6-Participating in and chairing administrative and financial committees within the framework of relevant laws, regulations, and organizational decisions
7- Reviewing the work reports of the organizational divisions under his supervision to assess the activity of each and provide feedback.
8- Providing opinions about the additional appropriations, overspending, expenditures from previous budgets, and monitoring the accuracy and validity of disbursement procedures, commitments, and the proper application of regulations and bylaws.

Vision and Mission
- The mission of the faculty’s Personnel Affairs Department revolves around contributing to the support and communication with all categories of faculty employees (special staff, general staff, temporary staff) and fulfilling all their requirements by responding to all inquiries that would help the individual to reach the correct application of the law regarding his rights and obligations.
Objectives
- Implementing employee-related regulations and procedures.
- Providing input on matters related to appointments, settlements, transfers, leaves, disciplinary actions, entitlements, and termination of service.
- Preparing payroll and bonus statements in accordance with the law and the budget.
- Implementing directives from the Central Agency for Organization and Administration, the Ministry of Finance, and other relevant authorities
- Providing suggestions and recommendations that lead to the development of employee systems.
- Responding to objections raised by the Central Auditing Organization.
- Completing clearance procedures upon travel, secondment, transfer, or assignment
Services
- Issuance of an official statement of employment status detailing career progression and job descriptions.
- Payment of employee and government contributions, income, and pension installments to the General Authority for Social Insurance and Pensions, and verification of employee entitlement.

Procurement Department
Overview
- The Procurement Department plays a vital and key role in meeting the faculty’s needs for goods and services by implementing various purchasing methods in accordance with the procurement policies and procedures in place at the state and university levels, and by providing support and advice to all departments within the faculty in all matters related to purchasing, the administration also plays an active role in monitoring purchase orders and the various contracts issued by it
Objectives
- faculty of Pharmacy’s procurement aims to meet the faculty’s needs and provide them as quickly as possible, with the highest possible quality and at the lowest prices, in order to provide a highly distinguished and specialized educational and scientific service, and to raise the level of students and scientific services to global levels, while using modern technology in the work.
Services
1- Participating with departments in setting specifications and conditions for materials and works to be purchased.
2- Performing all executive tasks related to purchasing necessary materials, equipment, and devices in accordance with applicable laws and regulations.
3- Carrying out direct purchase orders when necessary.

5-Providing the faculty with the necessary chemicals for conducting experiments and scientific research.

Warehouse Management
Vision
- To preserve university resources and ensure the availability of all necessary tools and services to guarantee smooth and efficient operations and maintain the highest standards of educational service
Mission
1. Inventory of all items in the warehouses, recording them in the computer system.
2. Contacting the purchasing department to complete the required items.
Receiving items delivered by companies.
Inspecting and recording items in the ledgers to ensure that they meet the required specifications.
5-Dispensing various items according to each department’s needs, with disbursement authorized by the faculty dean or department head
6-Monitoring the movement of exports and imports to identify future protests
7-Determine annual requirements before the item runs out by 10%
Objectives
- To facilitate the work and ensure easy and rapid supply of chemicals, equipment, furniture, and stationery to the faculty’s staff.
- To develop a warehouse management program to record all items in the warehouse.
- Creating a list of items in the warehouses to determine the balance in the warehouse and the balance that has been dispensed.
Services
- Providing the facility’s needs for materials and equipment.
- Ensuring that items are not lost, damaged, or stolen
Capabilities
The warehouses contain chemicals, medicinal plants and glassware sufficient for the facuilty’s work for an academic year, in addition to the faculty stock of consumables used for workflow, as well as the necessary tools and cleaning powders.
Space Capacity
Faculty of Pharmacy’s storage facilities consist of five rooms, each with an average size of approximately 4m x 4m.

Treasury Department
Treasury Department Duties
- Collecting tuition fees and other fees from students.
- Preparing disbursement and receipt documents.
- Disbursement of entitlements to faculty employees (salaries and bonuses).
- Disbursement of the high school excellence bonus.
- Collection of any outstanding financial dues from the faculty employees.
- Preparation of financial reconciliations for collected funds and their submission to the accounting unit after depositing the collected amount into the bank

Computer Science Department (Computer Lab)
Objectives of Establishing the Computer Lab at the faculty
- To create an advanced research environment for students and the staff members.
- To provide students with diverse academic and scientific programs.
- To enhance students’ research and technological skills.
- Contributing to raising the scientific and administrative efficiency of all members of the college
- To facilitate electronic communication between students and professors
Services provided by the lab
- Conducting various training courses for students and staff members
- Providing access to scientific research sites and various scientific materials for students.
- Enabling students to communicate and connect electronically with professors.
- Enabling students to gather the various scientific materials they need throughout their studies
The available facilities in the lab
- The computer lab contains 20 computers with their accessories and one air conditioning unit. A plan is being implemented to increase the lab’s capabilities by providing the lab with a printer, an air conditioning unit, a display screen, and a data projector.
